AavGo Manual Version 1.0

Introduction

AAVGO is a Hospitality product and a hotel solution provider that gives hotelier a unique way to deliver enhanced guest experience that deepens engagement and loyalty to take back the guest relationship by facilitating communication between guest to staff and staff to staff.

While your guests enjoy convenience and control over their experiences using their smart phones and tablets inside rooms, you can improve your business performance in real time using data-driven decisions.

Log-In

  • On the internet browser go to admin.aavgo.com
  • Enter login information and press Log-in
  • You will be displayed with the dashboard page of your hotel.

Hotel Management

Enter all the required fields which are represented by “*” in this section. The information will be displayed to all in-room tablets and in AavGo app on smartphone.

  • Name (Required) Enter your hotel name
  • Street 1 (Required) Enter the hotel’s address - street name and number.
  • Street 2 (Optional) If the address needs another line, please enter in street 2. E.g.: "Suite 100".
  • City (Required) Enter city name where hotel is located.
  • State (Required) Enter abbreviation of the state. Eg: Enter 'TX' for Texas
  • Zip Code (Required) Enter Zip Code for the Hotel
  • Email (Required) Enter the email address that you would want the guest to communicate with the hotel.
  • Website (Optional) Enter hotel website
  • Star Rating (Required) Please select the star rating of your hotel from 1 star to 5 stars.
  • Phone Number (Required) Select your country and enter phone number without any spaces or special characters.
  • Fax Number (Optional) Select your country and enter fax number without any spaces or special characters.
  • Select time zone (Required) Select the time zone where your hotel is located at.
  • Check-out Time (Required) Please enter Check out time of the hotel.
  • Check-In Time (Required) Please enter Check In time of the hotel. The in-room tablet will be automatically activated based on check-in time.
  • Manual Room Cleanup Enabled Manual room clean-up is used to calculate the time to clean a room. When this feature is checked, it means that you will be able to track the time to clean a single room by the housekeeper. The timer is started when the housekeeping staff starts the clean-up process in AavGo staff app on their hand device. Once the room is cleaned up, the housekeeping staff will end the timer. This way the hotel can keep track of total time it requires for a housekeeping staff to clean a room. Aavgo will track the timing and present the data to the hotel.

Enter your hotel description. You can also format the description by changing the size of the font, making it bold, or italics, and by having bullet points or numbering. The hotel description will be displayed to all in-room tablets and on AavGo app on smartphone.

Logo Image

The logo image will be displayed on every tablet in the room and on guest’s smartphone when they open the AavGo App. The preview image button will show how the logo would look on the tablets. You can set it back to default image by clicking the default image button.
The minimum recommended size for the logo is 559px X 103px

Profile Image

The profile image will be used to show the image of your hotel when guests do a search on their smartphone or when they check out “About hotel” on the in-room tablets.
The recommended size for the profile image is 1920px X 1080px

Background Image

The background image will be displayed as a background picture on the home page of your in-room tablets and on AavGo app on guest’s smartphone.
The recommended size for the profile image is 1920X1080. We also recommend not to use a light image for best user experience.

Image Gallery

You can add your hotel gallery for up to a limit of 5 pictures.


To add photo please following the steps

  • Click " Browse " or " + Add " Button.
  • It will open a Browse screen. Select the picture and press " Open "
  • The selected image will be displayed in the Box shown in step 1.
  • You can reset the picture to default image by clicking" Reset to Default "
  • To add picture again please go through the steps 1 to 3.
  • Select pictures for " Logo Image ", " Hotel Exterior Image " , " Background Image ".
  • To add picture in " Image Gallery " press" + Add "Button
  • Follow the steps 2 and 3 to add picture.
  • To remove the picture shown on box 7 simply take the mouse on the picture and it will display " X " on the photo and clicking on " X " will delete the picture.

Enter the contact information for the person in-charge of the hotel. Once you enter all the information please press " Save Changes "

To go to Amenities Items please follow this steps
  • Click on " Amenities " from menu bar located at left screen.

To add the selected amenity please click on "+ Select Amenity" and follow the steps.
  • It will open new window " Select Amenities "
  • Then select each amenities that hotel has. To select click on the button.
  • Please note there are two kind of amenities " Hotel Amenities "and" Room Amenities "
  • After selecting all the amenities please click on " select " to save and close or click on " Close "to close without saving.
  • All list of amenities will be shown on the " Amenities "

To add new amenity that is not in the list please click on "+ New Amenity" and follow the steps.
  • It will open new window " Select Amenities "
  • Enter Name, Open time & End time or Open 24 Hours, Amenity Type if it is Hotel or Room, Description/Location.
  • To select the icon of an amenity, click " Browse " or " + Add "on" Select Icon " section.
  • Open new window where you can see the list of the icons to select from. Please select one and if you would like to add your own, please scroll to the end and you will see the box shown above. It will open the browser window, select the icon you would like to see and click open.
  • Once you selected the icon click on Button " Select " to save and close or " Close " to close without saving.
  • Scroll down and go to " Image Gallery "
  • Click " Browse "or" + Add " button.
  • It will open a Browse screen. Select the picture or pictures and press " Open ".Please note, select more pictures if you would like it. Pictures cannot be bigger than 5MB
  • To remove the picture shown on box 7 simply take the mouse on the picture and it will display " X " on the photo and clicking on " X "
  • Once the picture is selected click on Button " Submit " to save and close or " Close "to close without saving.

To edit any amenity please click on edit button and follow the steps.
  • It will open edit window " Edit Amenity "
  • Edit whatever you like to edit like Name, Description, time, image, icon image, etc.
  • Once you are done editing click on Button " Submit "to save and close or " Close "to close without saving.

To go to Hotel Rooms please follow this steps
  • On the internet browser go to " admin.aavgo.com "
  • Enter login information and press " Log-in "
  • Click on " Hotel Rooms "

To add the hotel rooms. Please follow the steps. This rooms will helps us out to identify all the tablets in the room and communicate to guest and staff.

  • Please click on " Add New Rooms "
  • New window will open " Add Room "

  • There are 2 ways to enter the rooms.

  • Enter the room numbers separating by "," For example "101,102" OR
  • Enter "Min" and "Max". For Example "101 - 115". Press " submit " once the first range of room is entered. Hotel can repeat the steps until all rooms are entered in the system.
  • Once all the rooms are added click on Button "Submit" to save and close or " Close " to close without saving.
  • After all the rooms are added it will auto populate all the information on the screen
  • If hotel whats to edit any any room please press on edit button
  • It will open new window " Edit Room "
  • Edit room number if the room number is change or make it active or deactivate. If the room is going to be out-of-service for long time than make it deactivate
  • Once the changes are made click on " Submit " to save and close or " Cancel " to close without saving.
  • If hotel wants to delete the room just click on button " Delete "icon.

TV Guide is to provide television Chanel list to the guest thru tablet and apps. To add TV guide please go thru the following steps

  • Click " + Select Provider " button to open new window.
  • Select the provider of the TV channel for your hotel and packages that hotel have in the hotel
  • After selecting all the provider and packages click " Submit " to save and close or " Cancel " for closing without saving.

In the select package, it is not your provider than hotel can manually enter TV channel. To enter manually please follow the following Steps
  • Click On " + New Category " to open.
  • Enter the Category for the channel like Sports, Movies, Family, etc. and click " Submit " to save.
  • Repeat step 3 until all the category are added.
  • After entering all the category, click on " + Add Channel "
  • Enter channel number, channel name, Select Category.
  • To add channel logo Click "Browse" or "+ Add" button.
  • It will open a Browse screen. Select the picture and press " Open "
  • Click " Submit " to save or " Cancel " to close without saving.

Staff Management

Staff Management is the module where all the employee will be listed with the different role. In this module hotel will be able to add, edit or delete staff member. In this hotel will define all the role listed below

Housekeeping
Add all the people who are working in cleaning room, giving room supply. They will be communicating with guest and staff when needed. This employee will only see housekeeping, Maintenance and Front Desk, guest room Modules only.

Front Desk
Front Deck will have all access of staff and guest. Front desk will communicate with them as needed. They will have all access from all hotel like from all the staff and guest communication. They will be the back up of Housekeeping, Maintenance and any question guest have for front desk. If housekeeping person don't answer than the responsibility will go to front desk.

Frontdesk

  • Open a web browser (Firefox, google chrome, etc.) and type admin.aavgo.com in the address bar to lunch the administrator page.
  • Enter your user name and password. This will display the functionalities of the Front Desk
  • To the top left corner of the screen you will find two buttons to select preferred language and choice of hotel
  • To change the language, click on English and additional options will appear.
  • Click on the Hotel button to select your Hotel
  • Also to the left of the screen is a Menu option. Click on the Chat to reveal additional options as shown below

Staff
– This option is for communication between hotel staff only. Clicking on staff will display all the departments like Reception, Housekeeping, and Maintenance.

  • All Chats here will be channeled to the respective groups. If there are three people on duty as the reception desk, all three will receive the chat and any of them can respond to the chat.
  • Messages under the “Hotel Name” option will be sent to all employees in the hotel and, any or every employee can reply.

Reception
– This option allows for communication between hotel staff and hotel guests. This is where you can see all occupied (active) rooms.

  • You can chat with any guest in any room.
  • Messages sent to the receptionist reaches every receptionist on duty and any one of them can respond to the request.

Housekeeping
– All communication between guests and housekeeping takes place under this option.

  • Even though Front Desk sees and can read these chats, they are not expected to reply to the guest’s request unless Housekeeping is unresponsive.
  • Front Desk retains the ability to check all messages and respond if necessary.

Maintenance
– All communication between guests and maintenance crew takes place under this option.

  • Even though Front Desk sees and can read these chats, they are not expected to reply to the guest’s request unless Maintenance crew is unresponsive.
  • Front Desk retains the ability to check all messages and respond if necessary.

Historical Guest– This option allows guests who have checked out of the hotel to communicate with hotel staff via aavgo app. Such communication may be necessary if they (1) Forgot something in the room or (2) Would like to arrange for future stay.

  • Hotel staff lack the ability to initiate communication under this option.

Fun and More
– This is very useful feature for the hotel. It is used to perform marketing functions or send any information to all guest and staff. Following are the few examples.

  • Hotel would like to send a message for Happy hour in the hotel. All the room tablet and the app will get the message. “Happy Hour will be at the bar from 4 to 6. All beers are 50% off.”
  • If there is water outage for an hour. You can send a news that “We will have water outage between 11 am to 12 pm”.

New Booking

  • When you click on New Booking, another window pops up where you can enter guest name, email address, check-in and check-out date, room number. This option will activate the room’s tablet on the check-in date at 2:00 PM and it will deactivate it on the checkout date at 11:00 AM.

Upload Booking csv

  • If the PMS system is sabre, you can upload reservations list with all this information. From sabre PMS, download reservations for the next day and upload it in aavgo system. This will automatically activate and deactivate the room’s tablet as stated in the “New Booking” option above.

Current Guest

  • This tab contains all the information of the guest currently checked into he room. It allows you to edit the name as well as check them out of the hotel. When you check out the guest, the room’s tablet will be deactivated and housekeeping will be notified with room number.

Upcoming

  • This tab displays a list of all the guest that are schedule to arrive in the hotel for that day.

History

  • This tab maintains historical information on all guests who stayed in the hotel and for how long.

View Booking

  • This tab contains information on guests going to come in and how long they are going to stay and in which room.

This option contains all the information of how many rooms are activated and checked in. If you have a walk-in customer, with not reservation, you are able to check-in the guest. This will immediately activate the room’s tablet. If the room’s tablet is activated and the guest has already checked out, you will be able to check out the guest and conclude the activities from here. You are able access the entire tablet’s information from here

Refresh

  • This button refreshes all the information of the tablet. It will show current battery life of each tablet, if the tablet is connected to the internet or not, and if the tablet is checked in or out. This information gets refreshed every hour. You only press the refresh button if you want to check something.

  • This option shows rooms and tablets status, indicating which are not checked out from aavgo system. You will be able to check out the room and deactivate tablet from here also. Current checkout guest information can be found under the “Checked Out” tab. Information is refreshed daily.

  • You can see all maintenance tickets, and the status of all tickets, chats between staff or guests regarding the issue. Also, Front Desk personnel have the option and ability to create new tickets from this module. If instead of using the table to report an issue the guest decides to call the receptionist, the receptions can create a ticket which goes to maintenance personnel immediately. Front desk personnel is able to monitor all chats between maintenance group and guest and intervein when necessary.
